Sasha Liley is the artist name and trading identity used for this store. VVH SERVICES is the legal seller and data controller for the personal information described in this policy.

2. Information we collect

Depending on how you use the store, we may collect:

  • your name, email address, telephone number, billing address and delivery address;
  • order details, payment status, shipping information, returns and customer-service history;
  • messages or information you send us through the contact form, email or order notes;
  • for custom pet portraits, the reference photographs and creative notes you upload;
  • device, browser, IP address and website-use information collected through Shopify and cookies or similar technologies.

Payment card details are processed by the payment provider selected at checkout. We do not store your full payment-card details.

3. How and why we use information

We use personal information to:

  • process payments, create and fulfil orders, arrange delivery, manage returns and provide customer support;
  • create custom pet portraits and send proofs for approval;
  • communicate about an order, delivery, account or customer-service request;
  • prevent fraud, protect the store and resolve disputes;
  • comply with accounting, tax and other legal obligations;
  • send newsletters or promotional messages where you have chosen to receive them;
  • understand how the store performs and improve its functionality, where permitted.

We process information because it is necessary to perform our contract with you, comply with legal obligations, pursue our legitimate interests in operating and protecting the store, or, where required, with your consent. You may withdraw consent to marketing or non-essential cookies at any time.

Some information is necessary to process an order or create a custom portrait. If it is not provided, we may be unable to fulfil the relevant request.

4. Custom portrait photographs

Reference photographs and creative notes are used only to create and support your commission, including sending a proof, making the included revision and handling any related customer-service request.

They are not published on social media, in a portfolio or in advertising without your separate, explicit permission. We retain them for up to 12 months after the commission is completed, unless a longer period is necessary to resolve a dispute or comply with a legal obligation. You may ask us to delete them earlier where this does not prevent us from completing the commission or meeting a legal requirement.

5. Who receives information

We share information only where necessary to operate the store and fulfil your order. Recipients may include:

  • Shopify, which hosts and powers the store;
  • Google, where Google Analytics 4 is enabled, to measure website traffic and improve the store;
  • payment providers available at checkout;
  • Gelato and its production, fulfilment and delivery partners;
  • shipping carriers and customs or tax authorities where required;
  • technical, security, analytics, customer-support or email-service providers used to operate the store;
  • professional advisers or public authorities where legally required or necessary to protect our rights.

6. International transfers

Some service providers may process personal information outside your country, including outside the European Economic Area or the United Kingdom. Where required, we rely on recognised safeguards for those transfers, such as adequacy decisions or standard contractual clauses.

7. How long we retain information

We keep personal information only for as long as necessary for the purpose for which it was collected.

  • Order, invoice and accounting information may be retained for up to 10 years after the end of the relevant accounting year where required by applicable law.
  • Customer-service correspondence is retained for as long as needed to resolve the request and, where appropriate, for up to 24 months afterwards.
  • Newsletter information is retained until you unsubscribe or ask us to delete it.
  • Custom portrait reference photographs and notes are retained as described in section 4 above.
  • Cookie-related information is retained according to the duration stated in our cookie settings and applicable law.

8. Cookies and similar technologies

Shopify and selected service providers use cookies and similar technologies to operate the store, remember preferences, protect against fraud and, where enabled and permitted, measure performance or support marketing.

You can manage non-essential cookies through the cookie banner or settings made available on the website. Refusing non-essential cookies will not prevent you from placing an order.

9. Your rights

Depending on where you live, you may have the right to request access to, correction of, deletion of or restriction of your personal information; to object to certain processing; to withdraw consent; and to receive a portable copy of certain information.
